Academic Records
Official Academic Record
A report of grades earned is available on myLCC. Any disputes must be appealed through the instructor within two weeks of the official date of the end of the semester. Official records, of all students' courses, credits, and grades earned are kept in the Registrar's Office. Students should maintain a record of their courses, credits, and grades each term and check from time to time to see that their records agree with those of the College. The records may also help students determine their eligibility for any activity that requires them to meet specific scholastic standards. Copies of the official records are available to students upon written request.
Transcripts
All student records are held in confidence by the College. A student may request a transcript of their academic record from the Registrar’s Office. Transcripts are released only upon request by the student. A statement authorizing the release of a transcript must be signed by the student before a transcript will be sent to employers or other agencies. Authorization for Release of Transcript Forms are available in Student Services and online.
Students may also request electronic transcripts through the National Student Clearinghouse at www.studentclearinghouse.org. There is a fee for each official transcript requested.
Family Education Rights & Privacy Act (FERPA)
Students currently or previously enrolled at the College, parents of dependent students who claim the student as an exemption defined by the Internal Revenue Code, and individuals designated via a completed FERPA Release Form have the right to inspect and review the student’s education records maintained by the College or by an agent acting on the College’s behalf. The College will comply with requests to review education records within a reasonable timeframe, not to exceed 45 days from the date of the request. Requests to access education records should be directed to the appropriate official custodian responsible for maintaining those records. A directory of record types, their locations, and the names of official custodians is readily available upon request through the Admissions Office.
The college may release certain directory information to the public unless a student notifies the Registrar in writing by the end of the first week of the term that they do not wish this information to be shared. Directory information may include the student’s name, major field of study or program, dates of enrollment, degrees, diplomas, or certificates received, college honors, participation in officially recognized activities and sports, and weight and height if the student is a member of an athletic team. Additionally, the college designates photographs, videos, or other media containing a student’s image or likeness as "limited-use directory information." This limited-use data will not be shared with external parties unless they are contractually affiliated with the College. Its use and disclosure are restricted to college-hosted or college-benefiting websites; printed materials for marketing, public relations, outreach, or press releases; college events such as athletic games, fairs, open houses, or student activities; college officials with legitimate educational interest as defined by FERPA; and officially affiliated external parties, including third-party vendors and partner institutions with a memorandum of understanding.
Any student who believes that any right pursuant to the Family Educational Rights and Privacy Act has been violated or that the college policy is not in compliance with the Act, may file a complaint directly with the Family Educational Rights and Privacy Act Office (FERPA), Department of Health, Education and Welfare (HEW), 330 Independence Avenue S.W., Washington, D.C. 20201. Though it is not required as a condition to filing any complaint with HEW, the student is requested to discuss the grievance with the Dean of Student Services, Leigh and John McNairy Library, phone 252-527-6223, ext. 301, prior to filing a complaint with HEW. Strict compliance with the provisions of FERPA is the stated policy of the College. The College, through the Dean of Student Services, takes appropriate action in all cases involving a violation of the Privacy Act.
